Self-running webinar funnel: registrations, CRM and calendar booking
Marketing agency running paid webinar campaigns · Make.com · ActiveCampaign · Google Calendar · Landing Page
The problem
The agency was running webinars to generate leads, but every registration created manual work: someone had to copy registrations into ActiveCampaign, tag them, send reminders that were easy to forget, and then email every attendee a calendar invite by hand.
One webinar produced 200-400 registrations. A staff member spent the day after each webinar on data entry instead of follow-up calls. Registrations that arrived outside working hours waited until the next morning — and some prospects simply forgot they had signed up.
What I built
I built a funnel that runs itself end to end:
1. A landing page captures registrations around the clock.
2. Make.com (formerly Integromat) picks up each registration instantly: the contact is created in ActiveCampaign with the right tags, the reminder email sequence starts, and a personalised Google Calendar invite lands in the attendee's inbox.
3. After the webinar, attendee data is exported back into the CRM, so the sales team works with clean data without touching a spreadsheet.
The client got documentation and a short training session, so they can change email copy or dates themselves without calling a developer.
The result
Manual webinar admin dropped from roughly 6 hours per webinar to almost zero. Registrations get their reminders and calendar invites in seconds instead of the next morning. The client has since reused the same funnel for three more webinar series without paying for extra development.
Stack: Make.com, ActiveCampaign, Google Calendar, landing page.
